This policy explains what personal information D-Pace collects through this website, why we collect it, who we share it with and the rights you have over it. We keep the site deliberately light on data collection. We ask for personal information only when you use one of our forms. Beyond that, the site sets no cookies and gathers only limited technical and aggregate usage data, described below.

Who we are

Dehnel – Particle Accelerator Components and Engineering, Inc., operating as D-Pace (“D-Pace”, “we”), is the controller responsible for the personal information described here. Our office is at Suite 305, 625 Front Street, Nelson, British Columbia, Canada V1L 4B6.

What we collect and why

When you contact us. Our contact forms ask for your name, email address, project stage and message. Depending on your enquiry, they may also ask for your organisation, preferred dates and the product or simulation type you are interested in. We use this only to respond to your enquiry and to follow up on it. The legal basis is our legitimate interest in responding to people who contact us. Where your enquiry is a step toward doing business together, it is also necessary to take steps at your request before entering a contract.

When you apply for a job. Our job application form asks for your name, email, phone number, availability, and a résumé and cover letter, together with acknowledgements you confirm as part of applying. We use this solely to assess your application. The legal basis is our legitimate interest in reviewing and assessing applications. Uploaded documents are stored in a non-public location and can be downloaded only by authorised D-Pace staff signed in to the site.

Technical information. Like any website, ours is delivered through infrastructure that processes basic connection information (such as network addresses and request details) to serve pages and protect the site from abuse. We do not record your IP address against anything you submit.

Analytics. We use Cloudflare Web Analytics to understand, in aggregate, how the site is used. It sets no cookies, stores no identifier on your device and does not track you across other websites. The legal basis is our legitimate interest in maintaining and improving the site. Because it stores nothing on your device, it needs no consent banner.

Cookies

This website does not use cookies. We set nothing on your device, which is why you will not see a cookie banner.

Who we share it with

We do not sell your personal information. We share it only with the service providers that operate the site and deliver our communications, and only as needed to run them:

  • Our website host, on servers located in Canada, where form submissions and uploaded documents are stored.
  • Cloudflare, which provides the site’s content delivery, security and cookieless analytics.
  • Postmark, which delivers the notification emails generated by our forms.
  • Microsoft 365, which hosts the mailbox where enquiries are received.
  • Digitalis Web Corp, which builds and maintains the website on our behalf.

Our form submissions and uploaded files are stored in Canada. Some of the providers above are based outside Canada and the European Economic Area, and may process limited data (such as email delivery or connection metadata) in other countries, including the United States, under contractual safeguards.

How we protect your information

We use reasonable security measures to protect the information you send us. The site is served only over an encrypted connection. Form submissions and uploaded documents are held on servers located in Canada. Uploaded documents, such as résumés and cover letters, are kept in a non-public location and can be downloaded only by authorised D-Pace staff signed in to the site.

How long we keep it

We keep form submissions, including job applications and their attachments, for two years, after which they are deleted. Enquiry correspondence held in our mailbox is retained for as long as needed to manage the relationship. Our email delivery logs are kept for 14 days.

Your rights

You can ask us to give you a copy of the personal information we hold about you, correct it, delete it, restrict or object to how we use it or provide it in a portable form. To exercise any of these rights, contact [email protected].

If you are unhappy with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada. If you are in the European Economic Area, you may also complain to your local data protection authority.

Automated access and AI training

We do not permit automated scraping of this site or the use of its content to train artificial intelligence models. We apply technical measures at our content delivery layer to block automated AI training crawlers.

Children

This site is intended for a professional and technical audience. It is not directed to children, and we do not knowingly collect personal information from them.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date at the top of the page.
